Cancellation Policy 

Any cancellation must be communicated by email to: lotta.arbman@sohforum.org

• Cancellation before 14 March, 2026 → full refund 

• Cancellation after 14 March, 2026 → no refund

• No-show → no refund

Exceptional Cases

Refunds may be considered in the event of a visa refusal or a health emergency.

Official proof of the visa refusal from the embassy or consulate is required when contacting our secretary at lotta.arbman@sohforum.org

Visa 

Participants requiring a visa for Iceland must contact the nearest embassy or consulate which processes visa for Iceland, (Schengen Visa), upon receipt of their registration confirmation. An invitation letter can be provided after receipt of full payment. 

Important: This letter does not guarantee visa approval, which remains the exclusive responsibility of the participant. 

We recommend starting procedures at least 3 months before the event.

Accessibility 

Harpa Concert Hall & Conference Centre is accessible for people with reduced mobility. Any specific accessibility requirements (wheelchair, mobility assistance, etc.) should be communicated at the time of registration. Contact: lotta.arbman@sohforum.org

Participants under 18 years of age

Adolescents under 18 years are welcome with accompanying adults 

Parent or legal guardian are fully responsible for young people under 18 throughout the stay. 

Conditions: 

• Written authorisation by person responsible is required if a youth over 15 and under 18 years attends without their parents or legal guardians. 

Film, Photo and Video / Audio Recordings

Social Media and Press Authorisation 

By registering, you consent to the use and distribution by the Spirit of Humanity Forum, and its organising partners, of your image and voice (photos, videos, audio recordings) for informational, publicity, promotional and/or reporting purposes in print or electronic communications media. 

Refusal 

You may refuse this authorisation by informing: 

• Reception upon your arrival 

• By email: lotta.arbman@sohforum.org

A special red lanyard will then be assigned to you to signal your refusal to official photographers and videographers.

Personal Photos

Attendees may take and share their own photographs for private use as long as the attendees do so respecting the integrity of subjects photographed. The Spirit of Humanity Forum offers a safe space that needs to be respected. If the people do not agree to be photographed, their will must be respected. If requested by the subject, the photograph or footage must be immediately deleted.
